Onboarding and offboarding
- Getting started
-
CDS has worked in the eDiscovery space for over 20 years, developing scalable, flexible, and proven onboarding and training solutions. CDS understands that each client has unique requirements, and as such offers a tailored implementation frameworks, structured around client-specific priorities, capabilities, and workflows.
CDS will develop a training, onboarding, and certification methodology that will be applicable to each client, ensuring seamless deployment, upskilling of key user groups, and long-term ongoing knowledge transfer.
A custom training plan will be developed, outlining groups within the organisation that require training and the level of training required i.e. reviewer, user, administrator. During this process the following will be defined:
• Key stakeholder roles
• Training dates and frequency
• Number and types of training sessions
• Sign-off criteria and adjustments\customisations
CDS will work to configure workflows, templates, profiles, and workspace structures aligned to live use cases. This ensures training is scenario-based and contextually relevant.
Foundational Training
• CDS will conduct foundational training to prepare all core user groups.
• Go-live readiness is determined jointly, with flexibility to accommodate partial rollouts if necessary.
Training can be delivered via a mix of in-person, virtual, and hybrid sessions. - Service documentation

If Everlaw does not meet the SLO and Client meets its obligations described in these Everlaw Service Level Terms (the “SLTs”) and the Agreement (including payment obligations), Client will be eligible to receive SLA Credits. - Approach to resilience
-
Everlaw maintains high platform availability, consistently achieving annual uptime of greater than 99.95%, inclusive of scheduled maintenance. Business continuity and disaster recovery arrangements are informed by regular risk assessments, vulnerability scanning, threat analysis, and third-party and supplier risk reviews.
Incident response, business continuity, and disaster recovery plans are tested at least annually to validate effectiveness and support continuous improvement of Everlaw’s risk assessment and risk management processes. - Outage reporting
-
AWS provides real-time service dashboards to notify of any platform outages. In addition, Everlaw maintains internal monitoring dashboards and defined incident management processes to detect, manage, and communicate service issues across relevant teams.
Where required, external communications regarding outages are coordinated and delivered by your project management team to ensure timely and clear updates to customers.

Everlaw supports single sign-on (SSO) using the SAML 2.0 protocol, enabling users to access the platform via their organisation’s existing LDAP or SSO system. Organisations can choose to enforce SSO, which disables Everlaw’s optional password-based login for all users.
In addition, Everlaw provides multi-factor authentication (MFA) for all accounts, which can be enforced at the organisational level. MFA enhances account security by requiring a second verification method, such as a code sent via email or generated by an authenticator app, alongside the user’s password, helping protect against unauthorized access. - Access restrictions in management interfaces and support channels
- Everlaw restricts access using role-based controls and the principle of least privilege. Document access can be configured per user group via Project Management > Project Settings > Permissions > Document Access, allowing Full or Partial access. Matter permissions can also be restricted, so only designated Organization or Legal Hold Admins can view a matter. Production and administrative access is limited to system administrators, reviewed by managers and relevant parties, logged for auditing, and subject to quarterly privileged-user reviews. Access to the AWS console and Everlaw administrative pages requires multi-factor authentication, and only necessary functions, ports, and services are enabled.

Security governance is delivered through a formal Information Security Management System (ISMS) that is designed in accordance with ISO/IEC 27001:2013 requirements. The ISMS is overseen by the Chief Technology Officer (CTO) and governed by an ISMS Management Committee comprising senior leadership and departmental heads. This committee provides strategic oversight, approves policy, and drives continuous improvement.
A structured risk management framework is used to maintain a Risk Assessment, Statement of Applicability, and Risk Treatment Plan, which are reviewed regularly and updated in response to changes in business or threat landscape. Supporting policies, standards, and procedures are enforced across the organisation, with mandatory security training for all staff and formal reporting and investigation of security incidents to ensure ongoing compliance and assurance. - Software Security Code of Practice

- Complies with a recognised standard, for example CSA CCM v4.0 or SSAE-18 / ISAE 3402
- Configuration and change management approach
- Everlaw's configuration and change management processes are governed by the Configuration Management Policy. This policy ensures that all changes are documented and approved by the Configuration Change Review Group. Changes that may impact the security of the platform undergo Security Impact Analyses to determine necessary mitigating actions. All changes are tested and approved before being released into the production environment. Emergency changes follow a formalized change management process, with reviews and approvals documented prior to deployment, but at an accelerated pace. Necessary approvals are obtained and documented before initiating an emergency change.
- Vulnerability management type
- Complies with a recognised standard, for example CSA CCM v4.0 or SSAE-18 / ISAE 3402
- Vulnerability management approach
- Everlaw follows a comprehensive vulnerability management program. Policies and procedures are documented, approved, communicated, and reviewed annually to identify, report, and prioritise remediation of vulnerabilities. Processes support both scheduled and emergency responses, with detection tools, threat signatures, and indicators of compromise updated weekly or more frequently. Third-party and open-source updates are tracked, and independent penetration testing is conducted periodically. Vulnerabilities on managed assets are detected at least monthly and remediated using a risk-based approach. All identification, remediation, and metrics are tracked, reported, and communicated to relevant stakeholders to ensure continuous security improvement.
- Protective monitoring type
- Complies with a recognised standard, for example CSA CCM v4.0 or SSAE-18 / ISAE 3402
- Protective monitoring approach
- Everlaw complies with protective monitoring processes through systematic monitoring and reporting of critical information security performance metrics. This includes monitoring patch status, outcomes of risk assessments, internal audit findings, and incident documentation on a quarterly basis to ensure adherence to information security standards and practices. Additionally, processes are monitored through service level management procedures to ensure compliance with service level commitments and agreements.
- Incident management type
- Complies with a recognised standard, for example, CSA CCM v4.0 or ISO/IEC 27035:2011 or SSAE-18 / ISAE 3402
- Incident management approach
- Everlaw follows a structured incident management process with four key steps: Preparation, Detection and Analysis, Mitigation, and Post-Incident Activity. The Incident Response team is trained and equipped in advance. Potential incidents are detected via SIEM, Wazuh alerts, vulnerability scans, and system logs, then analyzed to confirm validity. Mitigation includes containment, eradication, and recovery. Post-incident, processes are reviewed for gaps and improvements. Users report incidents through Podio, which alerts the Response team. All incidents are documented in Podio, tracking actions to closure and generating metrics to continuously assess and enhance incident response capabilities.
