VoicePower provides a single, comprehensive support level for Lexacom Ambient AI covering onboarding assistance, configuration guidance, troubleshooting, and liaison with Lexacom for any platform-level issues. First-line support is included in the subscription price and available during standard UK business hours (9am–5pm, Monday to Friday).

Enhanced services such as onsite support or formal end-user training are available separately under Lot 3 and are not included within the software price.

All contracted buyers receive a named Account Manager to oversee onboarding, service queries and escalations. A dedicated cloud or platform engineer is not required, as platform-level issues are escalated to Lexacom when appropriate at no additional cost to the buyer.

Onboarding and offboarding

Getting started
VoicePower supports buyers in getting started with Lexacom by assisting with initial account setup, user provisioning, workflow configuration, and local environment checks. During onboarding, we help the organisation configure its users, teams, priorities and routing rules, and ensure the service is correctly connected to the required clinical or administrative systems. Buyers receive comprehensive user documentation, including setup guides and workflow instructions, as well as access to Lexacom’s online help resources.

If a buyer requires end-user or administrator training, this is available separately under G-Cloud Lot 3 and can be delivered onsite or online. This allows organisations to choose the level of training they require without it being bundled into the Lot 2b software service.

End-of-contract data extraction
Lexacom stores dictations, transcripts and associated files only for the duration of active workflows. All completed documents are exported into the buyer’s chosen clinical or document management system during normal use, so the organisation already retains the final clinical content independently of the Lexacom platform.

If a buyer wishes to extract any remaining user data or job information before contract termination, this can be done through the web interface or via the API. Dictations, transcripts, metadata and audit information can be downloaded in standard formats prior to account closure.

Once the contract ends, user accounts are disabled and data held within Lexacom is deleted in accordance with Lexacom’s documented retention and deletion policies.
End-of-contract process
At the end of the contract, user access to Lexacom is disabled and the organisation’s account is closed. Before closure, buyers may export any remaining dictations, transcripts, audit information or metadata through the web interface or API. All clinical documents generated during normal use will already have been exported into the organisation’s own clinical or document management systems, so no complex data extraction is required.

After account deactivation, remaining data within Lexacom is deleted in line with Lexacom’s documented retention and deletion policies, as described in the DPIA and Data Processing Agreement. Deletion includes audio files, transcripts, metadata, and temporary processing artefacts.

The contract price includes access to the Lexacom cloud service, user licensing, standard platform features, updates, and VoicePower’s first-line support. Optional services—such as onsite or remote training, workflow consultancy, implementation services, or large-scale migration work—are not included and can be purchased separately under G-Cloud Lot 3 or by separate agreement if required.

Lexacom Ambient AI is designed to work on mobile devices through the Lexacom mobile application, enabling clinicians to capture consultation audio securely and review or approve generated notes on the move. Mobile functionality focuses on recording, reviewing and submitting content, while the desktop and browser interface provides fuller administrative options such as workflow configuration, bulk management and integration settings. All core ambient transcription features remain available on mobile, with interface adjustments to suit smaller screens and touch-based navigation.

Description of service interface
Lexacom provides a secure, browser-based user interface for authors, reviewers, and administrators. Users can create and upload dictations, review and edit transcripts, manage workflow, track job progress, and approve final documents. The interface supports both desktop and mobile layouts and integrates with clinical systems through secure APIs. Description of customisation
Authorised administrators can customise Lexacom through the web-based Admin Console. Customisation includes creating teams and workflow groups, assigning user roles, configuring dictation categories, setting document priorities, and defining routing rules for authors and typists. Administrators can add or remove users, adjust permissions, and enable optional modules such as speech recognition or Ambient AI on a per-user basis.

Buyers can customise integration settings, including metadata fields, file naming formats, routing destinations, and API-based automations where required. Workflow behaviour—such as approval steps, escalations, and team allocation—can also be tailored to organisational processes.

Customisation is limited to users with administrative permissions. End-users can personalise local preferences such as playback settings, device selection, and interface layout, but cannot alter organisational configuration or system-wide settings.

Lexacom monitors system health continuously and uses Azure availability zones, load balancing and redundant components to maintain uptime. In the rare event of disruption, services are restored as quickly as possible, and status updates are provided through the public service status page.

VoicePower provides first-line support and escalation to Lexacom if availability issues occur. All scheduled maintenance is performed outside core working hours wherever possible to minimise impact on users.
Approach to resilience
Lexacom is hosted within Microsoft Azure, which provides a resilient, highly available cloud environment. The service benefits from Azure’s built-in redundancy across compute, storage and networking, ensuring continued operation even in the event of hardware failure or localised service disruption. Data is stored in highly durable storage with automatic replication and integrity checking.

The platform architecture uses load balancing, autoscaling and health monitoring to maintain performance during peaks in demand. Azure’s availability zones and resilient datacentre design help protect the service against power loss, cooling failures or other physical infrastructure issues. All components are continuously monitored, and alerts are generated for any degradation in service performance.

Backups and disaster recovery processes follow Azure’s recommended best practices, allowing rapid restoration of service in the event of a critical failure. Security, patching and resilience measures are maintained through Azure’s certified operational controls, including ISO 27001 and SOC 2.
