Support is provided at the following levels:

Zeal shall provide the following support services during the Support Hours.
(a) advice by e-mail on the use of the Software Service; and
(b) the diagnosis of Errors in the Software Service and instructions as to the rectification of such Errors by email or by remote access.

As soon as practicable after the Client becomes aware of an Error, it shall:
(a) notify Zeal by telephone of the circumstances in which it arose and provide all additional available information to Zeal regarding such Error; and
(b) if required, provide Zeal with all access to the Client’s system and audit logs necessary to enable Zeal to rectify such Error.

End-of-contract process
At the end of a Software as a Service (SaaS) contract, a formal offboarding process will occur. This includes a clear termination procedure, secure handling and return of any customer data, and the cancellation of user accounts and licenses. The exact steps are detailed in the SaaS agreement.

Zeal shall meets (and exceeds) agreed Software Service connectivity targets of 99.5% for each calendar month (“Uptime Connectivity Target”).

Availability measurement shall be carried out by Zeal and is based on the monthly average percentage availability, calculated at the end of each calendar month as the total actual uptime minutes divided by total possible uptime minutes in the calendar month where (i) "actual uptime minutes" is the number of minutes during which the Client is able to log into and access the Software Service; and (ii) any minute during which the Software Service was Unavailable (other than as a result of any Exclusions) is not considered to be an “actual uptime minute”.

Access to management interfaces and support channels is restricted using role-based access controls implemented in software. Permissions are assigned based on job role and least-privilege principles, ensuring users can only access functions necessary for their responsibilities.

Administrative and support access is limited to authorised personnel and protected using strong authentication controls. Separation of duties is enforced within management interfaces to reduce risk. Clear responsibility for security decision-making is defined at all levels, with senior accountability held by the Managing Director and operational responsibility delegated to appropriate leads. Individuals are empowered to make informed security decisions within their remit and are accountable for those decisions.

Security governance operates alongside other core governance areas, including employee health and safety, financial controls, and risk management, ensuring a balanced, proportionate, and sustainable approach.
Information security policies and processes
Zeal Solutions follows a structured and proportionate information security framework aligned with UK GDPR, the Data Protection Act 2018, and recognised good practice, including principles from ISO 27001 where appropriate to scale.

We maintain a formal Information Security Policy, supported by policies covering data protection, access control, incident management, business continuity, and acceptable use. These policies define how information is classified, stored, accessed, processed, and securely disposed of across our cloud-based services.

Overall accountability for information security sits with the Managing Director, who acts as Senior Information Risk Owner, supported by designated leads for data protection and system administration. This ensures clear reporting lines and escalation routes. All security or data protection incidents are logged, investigated, and managed in line with our incident response process, including client and regulatory notification where required.

System access is role-based and restricted to authorised users only, applying least-privilege principles and strong authentication controls. Access rights are reviewed regularly. Our services are hosted on secure, reputable cloud infrastructure with appropriate security certifications and resilience measures.

Policy compliance is ensured through staff induction, ongoing awareness, and regular policy review. Policies are reviewed at least annually or following any material change.

Zeal Solutions follows a defined configuration and change management workflow to control changes across the lifecycle of our cloud services. Service components are documented and tracked from development through deployment, maintenance, and retirement.

All change requests are formally reviewed and assessed before implementation. This includes consideration of security impact, data protection implications, and business continuity, supported by proportionate risk assessment and business impact analysis where appropriate. Changes are approved by designated leads and implemented in a controlled manner, with testing undertaken to ensure service stability and security are maintained.

Zeal Solutions uses protective monitoring to detect and respond to potential security incidents across our cloud services. Our Azure environment provides centralised logging and monitoring, including activity logs, security alerts, and access monitoring.

Potential compromises are identified through automated alerts, anomaly detection, and review of system logs. When an incident is suspected, it is assessed immediately, contained where necessary, and investigated in line with our incident management process. Incidents are escalated to senior management and, where required, clients and regulators are notified.
