Our support chatbot is delivered using Intercom Fin, a third-party web chat and support automation platform.
Accessibility testing of the chatbot is carried out through a combination of internal validation and reliance on accessibility testing performed by Intercom for the underlying chat interface. Internally, we test the chatbot experience using common assistive technologies to ensure it remains usable in practice.
This includes screen reader compatibility testing (e.g. NVDA and VoiceOver) to verify that bot responses, system messages, and conversation flow are announced correctly, and that input fields, buttons, and interactive controls are appropriately labelled. We also perform keyboard-only interaction testing to confirm that users can open, navigate, interact with, and exit the chatbot without reliance on a mouse, and that focus order and behaviour are predictable.
In addition, we review visual accessibility factors such as focus visibility and contrast, aligned with WCAG guidance, within the configuration options available to us.
As Intercom Fin is a managed third-party service, we rely on Intercom’s accessibility assurance and remediation processes for the core chat UI. Enterprise Enhanced Support provides the highest level of service, with the fastest response and resolution times, proactive engagement, and daily status updates for critical incidents. This tier is intended for mission-critical use.
Enhanced and Enterprise Enhanced Support are paid upgrades, with pricing provided on request based on contract size and support requirements.
Technical Account Management
Customers with annual spend above £10,000 receive support from a Workplace Solutions Engineer, who provides technical guidance during onboarding, configuration, integration, and implementation, and works with Support and Engineering teams as needed. When an organisation begins using Kadence, administrators are provided with guided onboarding delivered by Kadence’s customer team. Kadence provides training for both administrators and end users. Administrator training covers service configuration, policy management, and reporting. End-user training focuses on common tasks such as booking desks, viewing office availability, and managing attendance. Training is primarily delivered remotely using live online sessions and supported by self-service materials.
User documentation is available online and includes step-by-step guides, FAQs, and troubleshooting information. Documentation is kept up to date as the service evolves.

Before service access is removed, customers can request an export of their data. Following contract termination and completion of data export, customer data is retained for a limited period in accordance with Kadence’s data retention and deletion policies, after which it is securely deleted.
The contract price includes use of the Kadence service, standard onboarding, access to online documentation, remote training, and remote support during the contract term. It also includes standard end-of-contract offboarding support and data extraction.
Additional costs may apply only where customers request non-standard services. Availability and resilience

Kadence guarantees high service availability through a documented Service Level Agreement (SLA). By default, the Standard Kadence SLA commits to making the Covered Services operational and available at least 99.9% of the time in any calendar month.
Availability is measured as Monthly Uptime Percentage, calculated by subtracting any measured Downtime from the total minutes in the month. Downtime is defined based on server-side error rates.
If Kadence fails to meet this uptime target, customers may be eligible for service credits. Credits are applied as additional days of service at no extra charge on the next renewal, based on how far actual uptime falls below the target in a given month. The SLA specifies a scale of credits depending on measured uptime, with a maximum aggregate credit cap of 20% of service value for a single calendar month.
Contracts may include an enhanced SLA with different terms where agreed and documented on the Order Form. - Approach to resilience

Kadence is designed to be resilient and to minimise the impact of infrastructure failures on service availability.
The service is delivered as a cloud-based SaaS solution hosted on major public cloud infrastructure. It is built using a distributed architecture that supports horizontal scaling and redundancy across multiple components. This allows the service to continue operating in the event of increased load or the failure of individual components.
Kadence uses managed cloud services that provide built-in resilience, including redundant compute, storage, and networking. Data is stored using replicated storage services designed to tolerate hardware failure without data loss. Backups are taken regularly and can be restored if required.
The underlying data centre infrastructure is operated by the cloud provider and is designed for high availability. This includes physical security controls, redundant power supplies, climate control, and network connectivity, as well as geographically distributed availability zones. Kadence relies on these capabilities as part of the shared responsibility model.
Service health and performance are continuously monitored. Incidents are responded to using defined operational procedures to restore service as quickly as possible and reduce customer impact.
