Epro delivers training through a blended approach that combines interactive digital tools with a comprehensive downloadable materials pack. Epro would provide the customer free of charge with a list of documents including the number of documents by type and age that would then be reviewed by the NHS body.
The client would advise Epro which documents they require to be extracted in a format that can be loaded into their legacy archive or a new system. Based on this, Epro would then quote for professional services work to formally and safely extract the documents from the core database in the required format.
Both parties would agree and sign-off a statement of work which confirms the scope and deliverables of the project. The uploading of the extracted documents to the relevant customers' servers takes place within the agreed project timelines.
A full data extraction summary report is provided, which is a summary of the document extraction activity completed for the customer. A project closure report is also provided. - End-of-contract process

Epro will maintain a fully professional and supportive relationship throughout the term of the contract. As part of our quarterly business review process, we will discuss the customer requirements to either extend or terminate a contract as we approach the contract termination date.
At the end of the contract there are no additional costs or services beyond the agreed period of licenses and support. The exception would be if the customer contracts for a full extraction of data. The principles of the Epro Design System are integral to the user interface of our product. With this system in place, new screens, components, or changes can be executed in a systematic way that ensures efficient problem solving, with maintenance of optimal usability. Epro supports multiple inbound and outbound APIs, intended for different purposes.
For document imports, API end points are provided for a 'file drop’ mechanism which can accept external content by copying them into a folder, or via an email endpoint.
Epro can export documents for distribution via services to NHS standards e.g ITK / CDA, FHIR, MESH and HL7 MDM T02, supporting multiple different payload types, either a base64 encoded PDF, word, or text.
A different set of APIs exists for viewing content. An authenticated user can query the product to retrieve a list of documents, including description and associated meta data for a particular patient, in JSON format. Access will be via a specific “EproAPIUser’ account which is set up for the purpose.
Functionality to add new documents or edit existing documents is made available by ensuring this works in a standard browser tab and allowing the editor to be launched independently of the main solution.
Special provision is included for Allergies where Full SNOMED structure and coding is maintained. Drugs are supported through a Discharge Drug section in our outbound ITK Transfer of care or HL7 message.

Across the customer base, Epro has an average 99.99% up time within the contracted period cover. Where extended cover is taken, out of standard support hours uptime is 99.95%. This does not include planned downtime (upgrades, maintenance etc).

As part of our ISO 27001 accreditation, we have an Information Security Management System (ISMS) to ensure the business continuity of Epro by protecting informational assets against all internal, external, deliberate, or accidental threats.
The ISMS system protects information related to all activities associated with all Epro’s customers.
