C the Signs offers a comprehensive technical and clinical support help desk. The help desk runs Monday to Friday 9am to 5pm. We have a single point of entry to the technical and Clinical Helpdesk to make it easier for user. We have a rapid response rate to questions and queries, with a 95% closure rate with an average response time of less than 1 hour for emails and internal notifications (with telephone being considerably quicker). Alongside this, any issues requiring onsite investigation or support we will facilitate an engineer to go out to the site to investigate and fix this issue. Help desks and support provided is inclusive of the license fee.
The Helpdesk is led by the Quality Assurance Team and the Clinical Commissioning Lead for each customer, who serve as the first point of contact for the customer, to manage and lead on the installation, deployment and ongoing support, training and any technical and clinical questions regarding the system. - Support available to third parties

Prior to deployment, the local Clinical Commissioning Lead works with the customer to engage intended users across the region and support registration for CPD-certified online training. Training is available via live webinars, organisation-based sessions (on-site or virtual), or as part of existing standing meetings (on-site or virtual), ensuring minimal disruption to clinical services.
Users also receive a comprehensive education and training pack including videos, user guides, and supporting resources covering cancer in the UK, best practice guidance, national targets, and performance requirements. Unlimited training is provided throughout the commissioning period, with refreshers available whenever needed.
Following onboarding, training can be tailored to focus on interpreting cancer data and developing local cancer improvement plans. At contract end, C the Signs will implement a detailed exit plan to support safe transfer of data back to the organisation and then securely delete any identifiable data from the database. Each organisation will complete an exit questionnaire to confirm local risks and continuity arrangements. During the termination notice period, a phased switch-off will take place to enable safe migration to alternative systems and avoid interruption to patient care.
Users can extract their data through a managed export process supported by C the Signs. On request, we provide a secure export in commonly used interoperable formats (e.g., CSV and structured extracts where appropriate) to support archiving, reporting, and migration. Exports are completed using role-based access controls and secure transfer methods agreed with the customer. We confirm the scope of data required (e.g., patient records, assessments, referrals, activity logs, and audit information) and provide supporting documentation. Where needed, we can support validation to ensure completeness and integrity.
C the Signs will be archived once all patients are removed, the organisation confirms no further use, and the Data Processing Agreement term has ended. A password-protected file of any remaining patients will be issued, followed by a data destruction certificate confirming deletion. - End-of-contract process

At the end of the contract, C the Signs will support an orderly offboarding process to ensure continuity, safe handling of customer data, and a smooth transition away from the service. We work with the customer to support a safe exit and minimise the risk of any clinical impact, ensuring termination does not create unmanaged safety-netting actions or patient follow-up risks.
On request, we provide a secure export of the organisation’s data in commonly used formats (for example CSV and structured extracts where appropriate) to support reporting, archiving, or migration to an alternative service. We agree the scope of the export with the customer and provide supporting documentation where needed.

Users can customise automated workflows, including when clinical information such as blood test results triggers tasks, alerts, or escalation actions for clinicians and administrative staff. Availability and resilience

- We guarantee 99% availability of the C the Signs service which has been provided since our first contract (in line with AWS server guarantees). However, due to dependencies on servers and third parties for integration into the Electronic Healthcare Record (for example through NHS Digital's IM1 programme) we cannot guarantee the same level of availability for all components of the platform (as we have no recourse with third parties through NHS contracts). There are system back-ups (web, mobile applications) which provides a limited interim service whilst we wait for third parties to restore their systems. Failure to maintain server up time would trigger refunds inline with AWS refunds received and distributed amongst buyers.

C the Signs is designed for resilience using a secure, cloud-based architecture hosted on AWS. The service is built using a modular (microservice) design and is supported by resilient infrastructure, including redundant components and automated failover to minimise single points of failure.
We protect service availability through continuous monitoring and alerting, with proactive capacity management and scaling to maintain performance during peak demand. Data is protected through regular backups and controlled recovery processes to support restoration in the event of system failure or disruption.
