- Web chat accessibility testing
-
Bmit.com has undertaken focused accessibility testing of its web chat functionality to ensure it is usable by people who rely on assistive technologies. This testing formed part of the company’s wider commitment to inclusive design and compliance with accessibility standards.
Testing considered common assistive technologies used by disabled users, including screen readers, keyboard-only navigation, browser zoom, and high-contrast display settings. Users familiar with these technologies were able to complete realistic tasks such as opening the web chat, reading incoming messages, composing and sending responses, and closing the chat interface.
Particular attention was given to keyboard accessibility, ensuring that all chat controls could be reached and operated without a mouse, and to screen reader compatibility, ensuring that buttons, messages, timestamps, and status updates were announced clearly and in a logical order. Focus management was also tested to confirm that focus moved predictably when the chat window opened, when new messages appeared, and when the chat was closed.
Feedback from assistive technology users was reviewed and used to refine control labelling, improve focus behaviour, and ensure dynamic content updates were appropriately announced. Accessibility checks continue to be included in ongoing development and testing of the web chat functionality. - Onsite support

- Support levels
-
Submit Software Solutions provides structured support levels to ensure customers receive timely and appropriate assistance throughout the use of its application management software. Support is delivered by knowledgeable staff with direct access to the development team, allowing issues to be resolved efficiently.
At the first level, user support handles general enquiries, guidance on system use, and resolution of straightforward issues. This includes help with account access, navigation, and configuration queries. Requests are logged and tracked to ensure visibility and accountability.
The second level, technical support, manages more complex issues such as system behaviour, configuration problems, and data-related queries. Technical support staff investigate root causes, provide fixes or workarounds, and communicate progress to customers.
Where issues require deeper investigation or code changes, they are escalated to the third level, specialist and development support. This level is responsible for defect resolution, performance tuning, security-related issues, and implementing permanent fixes or enhancements where required. - Support available to third parties

Onboarding and offboarding
- Getting started
-
Submit’s onboarding process is designed to help customers start using the service quickly and confidently, with minimal disruption to existing processes. Onboarding begins with an initial setup phase, where Submit works with the customer to understand their requirements, application processes, and user roles. This information is used to configure application forms, workflows, permissions, and branding within the platform.
As part of onboarding, customers are provided with online training to support administrators and users in understanding how to use the system effectively. This includes guided walkthroughs, training sessions, and access to supporting materials that explain key features and common tasks.
Once configuration is complete, customers are supported through data setup and system familiarisation, including user account creation and any required integrations. Customers are then guided through testing and validation to confirm the service is ready for live use.
After go-live, customers continue to have access to online training resources, documentation, and support, ensuring they can confidently manage and adapt the service as their needs evolve. - Service documentation

- End-of-contract data extraction
-
When a customer’s contract with Submit ends, users are able to extract their data in a clear and structured manner to support continuity and data ownership. Submit provides functionality that allows authorised users to export their application data directly from the platform.
Data can be extracted in CSV file format, making it easy to import into spreadsheets, databases, or other systems for ongoing use or archiving. Exports can include application records, form responses, statuses, and relevant metadata, ensuring customers retain a complete copy of their information.
Where required, Submit can support customers in identifying the appropriate datasets to export and confirming that all necessary data has been retrieved before service termination. Clear guidance is provided to ensure exports are performed securely and in line with data protection requirements.
Once data extraction has been completed and the contract has ended, Submit follows its data retention and deletion processes to securely remove customer data from the platform within agreed timeframes. This approach ensures customers maintain control of their data while supporting a smooth and compliant exit from the service. - End-of-contract process

- Submit.com is committed to making its software accessible to all users, including those who rely on assistive technologies. To improve usability and meet accessibility standards, a number of accessibility features have been implemented across the platform. The Apply Page application form has been enhanced with ARIA (Accessible Rich Internet Applications) states and properties to improve semantic structure and support screen readers. In addition, comprehensive keyboard-only navigation has been introduced, enabling users who cannot use a mouse or other pointing devices to complete application forms efficiently using standard keyboard controls.

- Accessibility testing
-
To ensure the effectiveness of these enhancements, we have conducted extensive testing using the Google Chrome Extension Screen Reader. This tool simulates the user experience of visually impaired users, ensuring that our modifications effectively support their needs.
Through these measures, Submit.com ensures that our application forms are not only compliant with accessibility standards but also provide a seamless and inclusive user experience for all. - API
- Yes
- What users can and can't do using the API
-
Submit’s API is designed to enable secure and controlled integration between the Submit platform and external systems. It allows organisations to automate processes and exchange data while maintaining the same security, validation, and access controls that apply within the main application.
Through the API, authorised users can programmatically create and submit applications, retrieve application data and statuses, and update records as part of automated workflows. The API also supports access to form structures and reference data, allowing Submit to integrate with systems such as customer relationship management, case management, and reporting platforms. Secure authentication mechanisms are required for all API access, ensuring that only approved users and systems can interact with the service.
The API does not allow users to bypass authentication, authorisation, or role-based permissions defined within Submit. Users cannot access data beyond their permitted scope, view other customers’ information, or modify platform-level configuration and administrative settings. Validation rules, audit logging, and security controls enforced in the main application also apply to API interactions. - API documentation

- Description of customisation
-
Customers can customise Submit’s service to align with their specific processes, policies, and user needs without requiring bespoke development. Customisation is provided through configuration options within the platform, allowing organisations to tailor how the service operates and is presented.
Customers can configure application forms by defining questions, field types, validation rules, and mandatory requirements. Workflows can be customised to reflect internal review and approval processes, including stages, decision outcomes, and automated notifications. Business rules can be applied to control routing, eligibility checks, and status changes based on submitted data.
The service also allows customers to tailor user roles and permissions, ensuring appropriate access for administrators, reviewers, and applicants. Branding elements such as logos, colour schemes, and user-facing text can be customised to match organisational identity and communication standards.
Scaling
- Independence of resources
- Submit is built as a multi-tenant, cloud-based service designed to maintain consistent performance for all users. The platform runs on scalable public cloud infrastructure that automatically adjusts resources in response to demand. Workloads are logically separated between customers, and usage safeguards prevent any single user from consuming excessive resources. Continuous monitoring and alerting are used to track system performance and identify potential issues early. This approach ensures that increased demand from one customer does not negatively impact the performance or availability of the service for other users.

Availability and resilience
- Guaranteed availability
-
Submit.com guarantees 99.9% service availability per calendar month, measured at the application level and excluding scheduled maintenance and events outside our reasonable control.
The Submit.com platform is hosted on resilient, cloud-based infrastructure with built-in redundancy and continuous monitoring. Availability is calculated as the total minutes in the month minus unplanned downtime, divided by the total minutes in the month.
Planned maintenance is scheduled outside UK core business hours wherever possible, with at least 5 working days’ notice provided to users. Scheduled maintenance does not count as downtime when calculating availability. Emergency maintenance may be performed without notice where required to maintain platform security or stability - Approach to resilience
-
Submit.com is designed for high resilience to ensure continued availability and data integrity in the event of component, infrastructure, or service failures.
The platform is hosted on secure AWS cloud infrastructure and deployed across multiple availability zones, ensuring no single point of failure at the data centre level. Compute, storage, and networking components are designed with redundancy and automatic failover.
The application is built using stateless services where possible, allowing instances to be replaced or scaled automatically without service interruption. Data is stored in managed, highly available databases with automated backups and point-in-time recovery enabled.
Load balancing is used to distribute traffic across healthy instances, and health checks continuously monitor system components. If a failure is detected, traffic is automatically rerouted to maintain service continuity.
Submit.com is monitored 24/7 with automated alerts and on-call support to ensure rapid response to incidents. Regular testing of backup restoration and resilience controls is carried out as part of ongoing operational assurance. - Outage reporting
- Users can subscribe to email alerts to receive notifications of service disruptions, planned maintenance, and incident updates. Email notifications are issued when an incident is identified, during significant status changes, and once the issue has been resolved.
