KPro provides a comprehensive onboarding and ongoing support package designed to help customers adopt and operate the platform effectively. This includes initial workflow configuration and access to technical support throughout the contract term. All users benefit from built-in system guides, a searchable knowledge base, and in-app assistance featuring educational videos, step-by-step instructions, and a support request form.
Standard support is available Monday to Friday, 9am–5pm (UK time), via email or phone. Planned maintenance and product updates are communicated in advance to minimise disruption. Outside of core business hours, KPro operates a degree of extended support: critical issues may be responded to out of hours up to 10pm on weekdays and between 9am–5pm at weekends, depending on severity.
For organisations requiring enhanced support, KPro offers optional additional support subscriptions. These allow customers to purchase a flexible bank of hours for ad-hoc technical, configuration, or advisory support. Enhanced support options may also include regular Account Check-ins to identify optimisation opportunities and ensure continued system performance, as well as a dedicated support manager to act as the primary point of contact.

At the end of a contract, KPro follows a structured and secure data extraction process to ensure clients can retrieve all their information in a timely and accessible format. We work closely with the customer to plan and schedule the extraction, ensuring minimal disruption to ongoing operations.
Customer and inventory data is provided in CSV format, allowing easy import into other systems or storage solutions. KPro dedicates time and technical support to facilitate the safe and accurate transfer of data, maintaining full compliance with data protection and security standards throughout the process.
Once the data transfer has been completed and confirmed by the client, KPro ensures that all copies of the data are securely deleted from our systems in accordance with contractual and regulatory requirements. This transparent and well-documented process ensures customers retain full ownership and control of their data at all times. - End-of-contract process

End-of-Contract Process:
At the end of the contract term, customer access to the KPro platform will become restricted with immediate effect. Service contracts typically extend for up to three years unless terminated in accordance with the agreed notice period (60 days as standard) or special terms are agreed prior to contract sign.
Customer data is retained securely for 12 months following contract termination, after which it is permanently deleted in line with data protection and retention policies.
Data export is available on request and provided in CSV format. This service is chargeable and priced separately from the standard subscription. Where required, KPro can provide limited off-boarding support for up to 30 days after contract end to assist with data extraction or transition activities; this support is also typically chargeable.
Pricing Inclusions and Exclusions:
The contract price includes use of the KPro platform, standard support during the contract term, hosting, maintenance, and security updates.

Service Credits
For G-Cloud customers, Keaze/KPro offers conservative service credits if availability falls below 99.5% in a calendar month. Customers may receive a credit equal to 2% of the monthly subscription fee, capped at 10%, applied to the next billing cycle.
