- End-of-contract data extraction
-
When a contract with Zellis concludes, users have several options for extracting their data. Upon expiry or termination, the customer and Zellis agree on the required assistance to facilitate the transfer of data to another provider. This process is formalised through an exit task list, which details each activity and any associated costs.
There are three principal exit options. Firstly, customers may opt for a read-only service, which allows continued access to view data in the Core Product for a fixed period, subject to additional charges. However, this does not include support for exporting data to other systems or formats.
Secondly, Zellis can generate a standard data extract of employee data and pay history from the database. This is a structured, readable set of data, and charges apply for both the extraction and transfer. Customers may also run their own data extractions using reporting tools before exit.
Thirdly, enhanced exit options are available, including bespoke data extractions in formats such as CSV or XLS, which are chargeable based on the effort required. All data is removed from Zellis systems after contractual exit, in line with the agreement. - End-of-contract process
-
At the end of a contract with Zellis, a mutually agreed exit plan is implemented to enable a smooth transition. This plan includes continued Account Management, support, and maintenance until the contract concludes or as otherwise agreed between the parties. The exit process is formalised through an exit task list, which details the specific activities required and any associated costs.
Customers are presented with several options for managing their data. One option is to move to a read-only service, which allows continued access to view data in the HCM AIR Core Product for a defined period, subject to additional charges. However, this does not include support for exporting data or making changes to existing records.
Alternatively, Zellis can provide a standard data extract of employee data and pay history, using standard reporting tools to deliver structured, readable data. Charges apply for both the extraction and transfer, and customers may also run their own extractions before the contract ends.
Enhanced exit options are available, such as bespoke data extractions in various formats, which are chargeable based on the work involved. Once the contract has ended, all customer data is securely deleted from Zellis systems in accordance with the agreement. - Documentation accessibility standard

Zellis offers an extensive suite of over 430 APIs, including ODATA 4.0 (GET) and RESTful (PUT/POST/PATCH) endpoints, designed to support seamless integration with Zellis HCM AIR. These APIs are protected by HTTPS and OAuth2 protocols, supporting secure, bi-directional data exchange and transactional integrity.
Azure API Management provides a robust gateway, enabling credential verification, usage quotas, and comprehensive logging for analytics and compliance. Integration partners and technical teams can securely connect to the Zellis Intelligence Platform, facilitating near real-time data flows for both read and write operations.
The APIs enable a broad range of functions, such as onboarding new employees, updating records, and managing leavers. Systems can retrieve detailed employee information, including personal data, emergency contacts, organisational structure, and cost centre assignments. Data from external sources enriches the Zellis Data Model, enhancing business analytics and reporting capabilities.
The Notification Hub, using Microsoft Event Grid, automatically informs connected systems of changes in employee details, job roles, absences, grades, and service conditions. This supports timely and accurate data synchronisation across your digital ecosystem. - API documentation

Zellis HCM accommodates a considerable degree of configuration to meet buyer requirements.
Branding facilities can be provided to allow you to customise your self-service portal to get the look and feel of your own organisation. The branding pack allows you to amend style sheets, to customise images, logos, fonts and colours in line with existing intranet, internet and portal website styling.
Zellis HCM has also been designed and developed in close consultation with the independent Customer User Group, and Zellis continuously work with customer feedback from our Extranet site to enhance efficiency, provide intuitive data input and process flows, and simple navigation. Zellis HCM provides the System Administrator with the ability to customise the system in line with business requirements, and tables and parameter files can be defined and maintained to configure Zellis HCM in line with Buyer policies and procedures to meet the needs of different types of users.
All configurations are then protected on an on-going basis even following system upgrades, as these user changes form part of the database and not the software.
Scaling
- Independence of resources
-
Zellis HCM utilises Microsoft Azure Kubernetes Service (AKS) to orchestrate containerised components, delivering scalable and resilient performance that adapts to changing demand.
Each customer is provisioned with a dedicated AKS namespace and a suite of isolated databases within Azure SQL Elastic Pools, maintaining strict data privacy and preventing cross-customer access. AKS pods are assigned specific functions, supporting dynamic service delivery.
The architecture enables flexible allocation of compute resources to accommodate varying workloads, while robust transaction log throughput is maintained even with modest resources, promoting operational efficiency and reinforcing the security and integrity of customer data.

Data-in-transit protection

-
- TLS (version 1.2 or above)
- Other
- Other protection between networks
-
Beyond TLS 1.2, Zellis protects data in transit between the buyer’s network and our environment using robust encryption and secure protocols. Data exchanged via APIs and browser sessions is secured with enforced HTTPS, supported by RSA 2048-bit encryption and SHA-2 hashing.
File transfers (where needed for interfaces) employ Secure File Transfer Protocol (SFTP) with AES256 encryption.
Digital certificates from trusted providers are used throughout the system, strengthening authentication and preventing unauthorised access or tampering.
These measures collectively safeguard sensitive information, maintain confidentiality, and support compliance with industry standards during all data exchanges between networks. - Data protection within supplier network
-
- TLS (version 1.2 or above)
- Other
- Other protection within supplier network
-
Within the Zellis network, data is protected by AES 256-bit encryption at rest across virtual machines, storage accounts, and Azure SQL databases, with Transparent Data Encryption enabled by default.
Access is strictly controlled using granular role-based permissions and enforced multifactor authentication (MFA). Privileged Identity Management reduces risks linked to elevated access.
Network segmentation, firewalls, and intrusion detection systems restrict and monitor traffic. Microsoft Sentinel SIEM continuously analyses logs for abnormal activity, supporting rapid detection and response to threats.
These combined measures maintain confidentiality, integrity, and resilience for all data processed within Zellis' environment.
Availability and resilience
- Guaranteed availability
-
The solution is accessible 24/7, except during scheduled maintenance periods, for which we aim to give ample notice. These maintenance windows are carefully planned to minimise disruption and fall outside the Core Service Availability Period (CSAP), which is from 0800 to 1800, Monday to Friday, excluding public holidays.
Within the CSAP, our primary focus is on providing a robust operational environment, striving for a 99.9% availability rate, exclusive of planned maintenance that for operational or for reasons of expediency cannot be scheduled outside of the CSAP. This commitment underscores our dedication to delivering a dependable service to our customers. - Approach to resilience
-
Microsoft Azure data centres underpin the Zellis HCM solution with advanced security, resilience, and environmental controls to protect systems and data. Each UK South datacentre benefits from robust power infrastructure, including uninterruptible power supplies and generators, as well as duplicated environmental systems and multiple network connections to support continuous operations.
The solution architecture leverages Azure’s availability zones within the UK South region. These physically separate data centres provide zonal redundancy, so critical components and data are distributed across multiple zones. This approach helps maintain service continuity even if a localised failure occurs within one zone.
For backup and disaster recovery, Azure Recovery Services Vaults and Azure SQL Database services are used to protect virtual machines and databases. Backups are geo-replicated to the UK West Azure region, providing an additional layer of resilience and supporting rapid recovery in the event of a major incident.
Each customer receives a dedicated Azure Kubernetes Service (AKS) namespace, with the Zellis HCM solution deployed as AKS containers. If a container fails, AKS automatically redeploys a new instance. Dedicated Azure SQL databases are also provided per customer, with automatic replication across availability zones to further enhance data protection and availability. - Outage reporting

Zellis HCM delivers secure and flexible authentication for users accessing HR and Payroll services. Supported methods include Multi-Factor Authentication (MFA), public key authentication (such as TLS client certificates), identity federation with existing providers including Google Workspace and Microsoft Entra ID, SAML2.0, OAuth2 support, and traditional username and password.
Authentication options offer flexibility to suit organisational needs. OAuth2 with Entra ID provides advanced SSO, API access and smooth Microsoft 365 integration. SAML 2.0 supports straightforward SSO where required. Application managed credentials with MFA offer a practical option for onboarding and leaver access without placing additional demand on corporate identity platforms. - Access restrictions in management interfaces and support channels
-
Access to management interfaces is strictly limited through Privileged Identity Management (PIM) in Microsoft Entra ID, providing just-in-time, time-bound, and approval-based privileged access. Multifactor authentication is required for all role activations, with regular access reviews and comprehensive audit logging.
Support channel access to customer data is denied by default and only granted temporarily, following robust audit and compliance controls. These measures collectively minimise the risk of unauthorised access, maintain oversight of all administrative activities, and uphold the highest standards of security and data protection across all management and support operations. - Access restriction testing frequency
