Web chat support accessibility standard
None or don’t know
How the web chat support is accessible
The web chat interface is designed to be usable with standard web accessibility features, including keyboard navigation and compatibility with commonly used screen readers and browser accessibility tools. Users can initiate and participate in web chat conversations using a keyboard and view messages in a clear, linear format.

The web chat does not provide specific accessibility customisation options, such as configurable contrast modes, text resizing controls, or guaranteed full support for all assistive technologies. Users may therefore rely on their browser or operating system accessibility settings to support their individual needs.
Web chat accessibility testing
Accessibility considerations for web chat are addressed as part of Zoho’s general design, development and quality assurance processes for web-based features. This includes ensuring compatibility with standard browser accessibility features, keyboard-only navigation, logical focus order, and readable notifications.

Automated accessibility checks are complemented by manual reviews carried out during development and testing to identify issues that require human assessment. Accessibility-related issues identified through testing or user feedback are logged, prioritised, and addressed as part of ongoing product improvements.

While Zoho does not conduct customer-specific assistive technology user trials for each deployment or feature, accessibility considerations are applied consistently across the platform to support inclusive use of web chat functionality.

Onboarding and offboarding

Getting started
Zoho Workplace is designed to be quick to deploy and easy to adopt. Users can start using the service through a structured onboarding process supported by online resources and remote assistance.

Zoho provides comprehensive online documentation, user guides, and knowledge base articles covering setup, configuration, and day-to-day use. Step-by-step guides and in-product help support administrators and end users during initial setup and ongoing operation.

Online training resources, including webinars and video tutorials, are available to help users understand core features such as email, file management, collaboration, and meetings. These resources can be accessed on demand, enabling users to learn at their own pace.

Remote onboarding and implementation support is available, and optional paid services can be provided for organisations requiring additional assistance, such as structured rollout support or administrator training. Onsite training is not provided as standard but may be available through separate commercial arrangements.

End-of-contract data extraction
When a contract ends, users can extract their data from Zoho Workplace using built-in export and download tools available through the service interface. Authorised administrators can export user data, including emails, calendars, contacts, files, and documents, in commonly used, machine-readable formats to support migration or archiving.

Email data can be exported using standard mail export tools and protocols, while files and documents stored in team and personal workspaces can be downloaded directly or exported in bulk. Administrative controls allow organisations to manage user access during the offboarding process and ensure data is extracted before account deactivation.

Data extraction can be performed without additional software and does not require Zoho professional services, though optional paid assistance may be available if required. Once data extraction is complete and the contract has ended, data is retained or deleted in accordance with the agreed retention period and Zoho’s data handling policies.

Users remain responsible for completing data extraction prior to service termination to ensure continuity and compliance with organisational data retention requirements.
End-of-contract process
At the end of the contract, access to Zoho Workplace is managed in line with the agreed subscription term. Customers can choose to renew the service, reduce or remove licences, or allow the contract to expire. Prior to contract end, authorised administrators can export organisational data using the service’s built-in data export tools.

The contract price includes access to the Zoho Workplace platform, standard support, security updates, and routine maintenance for the duration of the subscription. Customers retain full administrative control to manage users, configure settings, and extract data during the contract term.

Additional costs may apply for optional services not included in the standard subscription. These can include Premium or Enterprise support tiers, extended support coverage, or professional services such as structured onboarding, migration assistance, or advisory support, where required. Any additional services are agreed separately and are not mandatory to use the core service.

If a contract is not renewed, access to the service will be restricted after the subscription period ends, and data will be handled in accordance with Zoho’s published data retention and deletion policies, allowing customers time to complete data extraction and meet organisational obligations.
Documentation accessibility standard
None or don’t know
How the documentation is accessible
Zoho Workplace onboarding and offboarding documentation is provided primarily through web-based articles, guides, and help content designed to work with standard browser accessibility features. Documentation can be accessed using keyboard navigation and is compatible with commonly used screen readers and browser assistive technologies.

Content is structured using headings, lists, and clear language to support readability and logical navigation. Documentation can be zoomed or resized using browser controls, and users may apply operating system or browser accessibility settings to meet individual needs.

The documentation does not provide dedicated accessibility configuration options or alternative formats by default, such as audio versions or guaranteed compatibility with all assistive technologies. Data-in-transit protection

Data protection between buyer and supplier networks
  • TLS (version 1.2 or above)
  • Other
Other protection between networks
In addition to TLS encryption, Zoho Workplace protects data in transit using secure certificate management, strong cipher suites, and server authentication to prevent unauthorised interception or tampering. Network traffic is continuously monitored for anomalies, and security controls are applied to ensure only authorised connections are permitted between user devices and the service.
Data protection within supplier network
Other
Other protection within supplier network
Zoho protects data within its network using layered security controls. Data stored in Zoho data centres is encrypted at rest using strong encryption standards. Internal traffic between services, storage systems and disaster recovery sites is encrypted to prevent unauthorised access. Zoho operates fully controlled data centres with restricted physical access, continuous monitoring and dedicated security systems. Network protections include firewalls, intrusion detection and prevention, and segmentation to isolate sensitive components and limit lateral movement. Access to production systems is restricted to authorised personnel following strict authentication, logging and approval processes.

Availability and resilience

Guaranteed availability
Zoho guarantees a monthly service availability of 99.9% for Zoho Workplace, measured on a calendar-month basis. Availability represents the percentage of time the production service is operational and accessible to users, excluding scheduled maintenance periods and circumstances outlined in Zoho’s Service Level Agreement.

Current and historical availability information for Zoho Workplace and other Zoho services is published on Zoho’s public service status page, where users can view real-time service status, maintenance notifications, and incident history.

If Zoho does not meet the guaranteed availability level in a given month, customers may be eligible to request service credits in accordance with Zoho’s Service Level Agreement. Service credits are applied to future billing cycles and are calculated based on the extent to which service availability falls below the stated commitment.

Service credit requests must be submitted by the customer within the timeframe defined in the SLA. Service credits are the sole and exclusive remedy for failure to meet the availability commitment. Zoho does not provide cash refunds for service availability shortfalls.
Approach to resilience
Zoho Workplace is designed as a cloud-native service with resilience built into the platform, infrastructure, and operational processes. The service is hosted in professionally managed data centres with redundant power, cooling, networking, and physical security controls to support high availability and service continuity.

The platform uses a distributed architecture with redundancy across critical components to reduce single points of failure. Data is stored with replication and backup mechanisms to protect against data loss and infrastructure failures. Automated monitoring and alerting are used to detect and respond to service issues, helping maintain availability and performance during periods of increased demand or component failure.

Zoho operates defined backup, disaster recovery, and business continuity processes to support service resilience. Regular testing and operational reviews are carried out to ensure these controls remain effective and are updated as the service evolves.

For security and resilience reasons, detailed information about specific data centre locations, internal architecture, and recovery procedures is not made publicly available. Additional information can be provided to buyers on request under appropriate confidentiality arrangements.
Outage reporting
Zoho Workplace provides transparent and timely outage reporting through multiple channels. A public service status dashboard is available, allowing users to view real-time service availability, incident updates, planned maintenance notifications, and historical outage information across Zoho services.

During service incidents, status updates are published to the public dashboard to keep users informed of the issue, progress, and resolution. This dashboard can be accessed without authentication, supporting transparency for both administrators and end users.

Zoho also provides email notifications for service incidents and planned maintenance to registered administrators, helping organisations proactively manage user communications and operational impact.

In addition, service status information can be accessed programmatically using Zoho’s status and monitoring interfaces, supporting integration with third-party monitoring or IT service management tools where required.

These reporting mechanisms enable public sector organisations to quickly understand service health, respond to incidents, and meet internal governance and assurance requirements.

Information security policies and processes
Zoho maintains a comprehensive information security management programme aligned with ISO/IEC 27001, supported by additional standards including ISO/IEC 27017, ISO/IEC 27018, ISO/IEC 27701 and SOC 2 Type II. This programme establishes the policies, procedures and technical controls used to protect customer data from unauthorised access, alteration, disclosure or loss.

Zoho’s documented policies cover areas such as access control, encryption, asset management, physical security, secure development, incident response, vulnerability management, supplier management and data privacy. Policies extend to employee responsibilities, acceptable use requirements and confidentiality obligations. These documents are communicated to staff during onboarding and reinforced through mandatory periodic training.

Information security governance is managed by Zoho’s central Security and Compliance team, which reports into senior leadership. Control owners are designated across engineering, operations, support and facilities teams, with responsibility for implementing and monitoring relevant controls. Zoho conducts internal reviews, technical monitoring, access audits and risk assessments to ensure policies are followed.

Policies are formally reviewed at least annually or whenever significant operational or regulatory changes occur. Compliance with Zoho’s information security policies is independently validated through recurring external audits for ISO and SOC certifications.

These processes ensure consistent alignment with industry best practices and regulatory expectations.

Operational security

Configuration and change management standard
Complies with a recognised standard, for example CSA CCM v4.0 or SSAE-18 / ISAE 3402
Configuration and change management approach
Zoho follows documented configuration and change management processes aligned with ISO/IEC 27001 and SOC 2 controls. Service components are recorded in configuration repositories where ownership, versions and lifecycle status are tracked. All changes are assessed for security and privacy impact, reviewed by appropriate approvers and implemented with defined rollback procedures. Audit logs are maintained for traceability. High-risk or service-affecting changes receive additional security review. Emergency changes follow an expedited but controlled workflow. Zoho notifies customers of changes that may materially affect their use of the service. These processes ensure controlled, secure and traceable updates to the platform.
Vulnerability management type
Complies with a recognised standard, for example CSA CCM v4.0 or SSAE-18 / ISAE 3402
Vulnerability management approach
Zoho operates a structured vulnerability management process using certified third-party scanners, internal security tools and periodic automated and manual penetration testing. Potential threats are identified through continuous monitoring, vulnerability feeds, public advisories, security mailing lists and industry threat-intelligence sources. When a vulnerability is detected, it is logged, assessed for severity and risk, and assigned to an owner. Critical vulnerabilities are prioritised for immediate remediation, and patches or mitigating controls are deployed as quickly as possible following validation. All remediation activity is tracked to closure, with verification performed by the security team to ensure the issue has been resolved.
Protective monitoring type
Complies with a recognised standard, for example CSA CCM v4.0 or SSAE-18 / ISAE 3402
Protective monitoring approach
Zoho monitors its services using centralised logging, automated alerting and continuous analysis of events across applications, network traffic and system activity. Logs include access, audit, administrator and security events, which are stored securely and monitored for anomalies such as unusual authentication behaviour or unauthorised access attempts. When a potential compromise is identified, alerts are escalated to the Security Incident Response Team for investigation. Incidents are assessed, contained and remediated according to severity, with high-risk events addressed immediately. Zoho follows documented incident response procedures and tracks each incident through to closure, including post-incident review.
Incident management type
Complies with a recognised standard, for example, CSA CCM v4.0 or ISO/IEC 27035:2011 or SSAE-18 / ISAE 3402
Incident management approach
Zoho maintains documented incident management procedures for common security, privacy and service events. Incidents are logged, categorised and handled by Zoho’s Security Incident Response Team using predefined investigation, containment and recovery workflows.

Users can report security or privacy incidents directly via email, where they receive high-priority attention. Other service-related issues can be raised through standard support channels.

When an incident affects a customer, Zoho provides notifications and a summary reports outlining the event, impact and corrective actions. Broad service incidents are communicated through service announcements, status pages or community channels.

Post-incident reviews help prevent recurrence.

What the ISO/IEC 27001 doesn’t cover
ISO/IEC 27001 certifies our Information Security Management System (ISMS) and confirms that we have appropriate governance, controls, and continual improvement processes in place to manage information security risks within the defined scope of certification.

The certification does not certify individual products or specific technical features in isolation. Instead, it applies to the management framework, policies, processes, and controls that govern how information security is implemented and operated across our in-scope services.

Activities, systems, or services outside the formally defined ISMS scope are not covered by the ISO/IEC 27001 certification. This may include third-party services or infrastructure not operated or controlled by us, or internal systems not directly involved in the delivery of certified services.

ISO/IEC 27001 also does not replace or automatically include other standards (such as ISO/IEC 27017 or ISO/IEC 27018 - Which Zoho Corporation has obtained both certifications), which address cloud-specific controls and protection of personally identifiable information and are assessed separately where applicable.

What the ISO 9001 doesn’t cover
ISO 9001:2015 certifies our Quality Management System (QMS) and confirms that we have defined, implemented, and continually improved processes to ensure consistent service delivery within the certified scope.

The certification does not certify individual products, features, or technical performance in isolation. It focuses on the management framework for quality rather than guaranteeing specific service outcomes, configurations, or performance levels for individual services.

Activities, systems, or services outside the formally defined QMS scope are not covered by the ISO 9001 certification. This may include third-party services, customer-managed configurations, or internal processes not directly involved in the delivery and support of in-scope services.

ISO 9001 also does not address information security, privacy, or data protection controls, which are covered separately under standards such as ISO/IEC 27001 and related certifications.

Level 1: CSA STAR Self-Assessment
What the CSA STAR doesn’t cover
Zoho’s listing in the CSA Security, Trust & Assurance Registry (STAR) is based on a STAR Level 1 Self-Assessment, which documents how our cloud security controls align with the Cloud Security Alliance Cloud Controls Matrix (CCM).

The STAR self-assessment applies to the security control framework and governance practices for our cloud services. It does not certify individual products, specific service configurations, or customer-managed settings in isolation.

Activities or services outside the scope of the published STAR self-assessment, including customer-controlled configurations, integrations with third-party services, or infrastructure not operated or controlled by Zoho, are not covered.

CSA STAR also does not replace other standards covering information security, privacy, or quality management, which are addressed separately through certifications such as ISO/IEC 27001 and related standards.

In summary, CSA STAR provides transparency into our cloud security controls within scope, but not independent certification or coverage of out-of-scope services or configurations.
