Access Legal combines both the Prince2 Agile and ITIL methodologies for service transition and new solution implementation.
We have a 5-step process for service transition, which grows to a 7 stage process if the service transition includes a full new solution such as Cloud Migration. These processes are shown in the two images below.
Stages for service transition are broken down into multiple stage boundaries to ensure greater control, risk mitigation, and a smooth transition to live operation. A rigorous framework for planning and managing the capacity and resources required for the service transition is in place.
A PMO (Project Management Office) is allocated to create a bespoke service transition plan and meticulously manage the processes in terms of the transfer of knowledge, data, and systems. Key documentation is created and stored in the Project Initiation Document (PID) for transparency to stakeholders and to ensure thorough planning. Project Success Criteria is established to assess benefits realisation upon completion and review of the service transition and implementation process. Your ‘Go Live’ is fully managed by the Project Manager and Lead Project Implementation Consultant to warrant minimal disruption. - Service documentation

Once termination is confirmed, the “termination data requirements document” is sent to the client and a record created on the Offboarding register in line with internal processes. On receipt of the offboarding document, Access Offboarding Review team will review the response, respond to any queries, annotate the record to reflect the customer requirements, upload the document and set the record to “not started” The Service Delivery team will pick up the ticket, arrange the return of data, decommission the system then they or hosting delete the data (production and backup unless “beyond access”(in which case it will be overwritten). Closure of the ticket triggers a confirmation to the customer that their data is deleted.
